> step 2 proofreading > required *** notation

Please read the overview page first, to understand the step 2 procedure.

There are only 3 possible types of revisions (with some variations): answering our questions | corrections & changes | removing a listing.

Please note that in these instructions,

ANSWERING OUR QUESTIONS
in this section >> if you have an answer | if the answer is repeated | if you do not have an answer
IF YOU HAVE AN ANSWER TO A QUESTION
  • do not delete or modify the question or any other part of the listing
  • insert a new line right after the field that has the question
  • on this new line, type your answer beginning with ***.

why rewrite the whole field?

  • In ex.1, if you had just written ***Haydn: Sonata #54, it would look like the Locatelli was cancelled. Another way of answering would be ***the missing composer is ... or ***the pianist will be ...
  • However there are cases where there is no confusion possible. Ex. in the second listing, the address.

IF AN ANSWER IS REPEATED THROUGHOUT THE TEXT

if it's the same answer for the same question throughout the email (ex. phone???), then do the following:

  • write the *** answer at the first occurrence only, as per instructions above.
  • add SAME ANSWER EVERYWHERE (1st example)

if it's not the same everywhere but there is a convenient pattern, follow the same instructions but add more information to describe said pattern (2nd example).

Otherwise, you must write each answer everywhere.

The purpose of this option is to save you time. This matters more in emails with numerous listings.

IF YOU DO NOT HAVE AN ANSWER TO A QUESTION,
just skip it for now, and send us the answer whenever you have the info.
  • In the meanwhile, our questions will remain in the database. Therefore if we send you another "Here is what we have" email, the question will still be there. Don't be surprised. Just ignore it until you have an answer.
  • We do not remove questions until we get a positive answer. "TBA", "we don't have that info", and "we will never have that info" are not positive answers.
  • If we send you an email for a specific question (usually with the word "Question" in the subject line, or marked "high priority", or for an upcoming event), please respond immediately.
  • We reserve the right to not publish any listing for which a question remains unanswered, especially when an essential field is missing. Essential fields are: date, time, location, ticket price, phone number, musical contents (as specific as you can be), performers (as specific as you can be).
CORRECTIONS & CHANGES
in this section >> marking a correction | if a correction is repeated
MARKING A CORRECTION
  • after the incorrect field, insert a new line with
    *** the correct entire field.
  • correct one field at a time, do not correct two consecutive fields with one single ***
the most common correction:
a date change (= a postponement)  or a date error

yes! it's that simple!

  • then add SAME CORRECTION EVERYWHERE (1st example)

REMOVING A LISTING
3 cases >> duplicates | cancellations | unexpected listings

in all cases:

  • delete nothing so we know what to remove
  • label the listing to remove with the appropriate ***LABEL, as explained below.
  • put the *** LABEL at the top of the listing, touching it (i.e. not separated by a blank line, or else it will not be clear if it's labelling the preceding or following listing)

Don't just write ***REMOVE, because we want to know what happened, if the error was internal or external, or if it was not an error but a change, etc.; this might help us improve our procedure.

DUPLICATES
  • delete nothing so we know what to remove and why
  • decide which one you one us to remove
  • write ***DUPLICATE please remove at the top of it.

EXAMPLE 1: both listings are perfect

  • you can label either one as the duplicate

EXAMPLE 2: If one of the listings contains errors or less info than the other,
  • that one should be labelled as the duplicate. No need to correct it.

EXAMPLE 3: If both listings contain errors
  • the one with more errors should be labelled as the duplicate
  • the other one should be corrected as per instructions above for corrections.

In the example on the right, the first listing has 2 mistakes (phone and works), and the second listing has 1 mistake (phone). So the first gets marked as duplicate, and the second one gets 1 correction.

CANCELLATION
  • delete nothing so we know what to remove and why
  • write ***CANCELLED at the top of it.

A postponement is not a cancellation. See above (it's the first example in the section "corrections and changes").

UNEXPECTED LISTING

If a listing does not concern your organization (ex.: it concerns an organization with a similar name), you may not ask us to delete it.

  • delete nothing so we know which listing you are referring to
  • write *** NOT ONE OF OURS at the top of it.

Or just ignore it. And don't worry.
